Once you've built your onboarding flow, you need to get it to your clients. 360Onboard makes this easy with personalized client links that include your client's information and, optionally, your custom branding.
Before You Start: Custom Domain Setup
Before generating personalized client links, you should set up your custom domain in Settings. This ensures your links are branded with your company name instead of the default 360Onboard domain.
Why Use a Custom Domain?

Custom domains:
- Look more professional
- Build trust with clients

How to Set Up Your Custom Domain
- Go to Settings
- Navigate to Custom Domains
- Add your custom subdomain (e.g.,
onboarding.sheetsai.com) - Follow the DNS configuration instructions
- Wait for verification (usually a few minutes)
Once verified, all your personalized client links will use your custom domain automatically.
Note: Setting up a custom domain is optional but highly recommended for a professional experience.
Two Ways to Use Your Flow
After building your flow, you have two options:
Option 1: Save Onboarding Flow
- Saves the flow to your dashboard
- Makes it available to use with multiple clients
- Doesn't generate a specific link
- Best for flows you'll reuse
Option 2: Get Personalized Client Link
- Creates a unique link for a specific client
- Pre-fills the client's information
- Tracks that specific client's progress
- Best for immediate use
Most users will want to do both: save the flow for future use, then generate personalized links as needed.
Generating a Personalized Client Link
Step 1: Click "Get Personalized Client Link"
After finishing your flow setup, click the "Get Personalized Client Link" button (instead of just "Save Onboarding Flow").
Step 2: Enter Client Information
You'll be prompted to provide:
Required Fields:
- Client's Full Name (e.g., "David Souza")
- Client's Email (e.g., "david@sheetsai.com")
- Company Name (e.g., "SheetsAI")
This information is used to:
- Personalize the onboarding experience
- Track the client in your dashboard
- Send automated emails
- Generate the custom URL slug
Step 3: Customize the Link Slug (If Using Custom Domain)
If you've set up a custom domain, you can customize the URL slug that appears after your domain:

Best Practices for Slugs:
- Use client name for easy identification
- Use company name for corporate clients
- Keep it simple and readable
- Avoid special characters or spaces
- Use hyphens instead of spaces
Step 4: Generate Link
Click "Generate Link" and 360Onboard will create your personalized client link in seconds.
What Happens Next?
The Link is Created
You'll see the complete URL for your client. This link:
- Is unique to this specific client
- Contains all the flow steps you created
- Is ready to share immediately
- Tracks completion status
Sharing the Link with Your Client
You can:
- Copy and paste it into an email
- Send it via your CRM or project management tool
- Include it in your welcome packet
- Embed it on your client portal
360Onboard can also send automated invitation emails if you've configured email settings (see Settings article).
Testing Your Link
Before sending to your client, open the link in a new tab to preview the experience:
- Right-click the generated link
- Select "Open in new tab"
- Walk through the onboarding flow as your client would see it
This allows you to:
- Verify all steps appear correctly
- Check that questions make sense
- Test signature functionality
- Confirm the thank you page displays
- Ensure branding is correct

Want to Change Client Information: You'll need to generate a new link with the correct information. The original link will remain active unless you delete it from your dashboard.

Save a Flow When:
- You'll use this same onboarding process for multiple clients
- You want to make it a template
- You're still testing and perfecting the steps
Generate a Link When:
- You're ready to onboard a specific client
- You've finalized the flow
- You need to send it out immediately
Pro Tip: Save your flow first, then generate as many personalized client links as you need from that saved flow. This way you can onboard multiple clients with the same process while tracking each one individually.
